Microsoft Excel & Word Integration

MergeFrontCoverConductOnline allows users to export data to be used in Microsoft Excel and Word. When used in Word, the data can be used as part of a mail merge document.

The main advantages being:

  • Data is easily exported for an individual pupil or a found set of students, such as a form group
  • Exported data can be saved in .MER or .XLS formats
  • Data can be used to generate charts in Excel, such as percentage of incident types
  • A Word document can be formatted to exactly meet your needs in terms of header, footer, data, margins, fonts, styles, etc.
  • Word handles multiple pages more elegantly than a web browser and will always print a true reflection of what's on screen
  • Word or Excel documents are shared more easily with others, either natively, as legacy formats such as Word 2003, or as PDF, etc.
  • Word allows cover pages, school logos, etc to be easily added

The picture on the right shows the professional effect that a Word cover page gives to a student's behaviour record report. This one was created from a Word template in under a minute. How you format your Word or Excel document is virtually limitless.

MergeMerFile

Start by finding your student or students, then choose the Export As .MER file or .XLS file option from the Admin > Export menu. The above example uses a .MER file for a single pupil, Sarah Coker. As you can see, the data is exported in a comma delimited format that can be used with Microsoft Word or even Excel.

The Microsoft Excel option is limited to 255 characters in the notes field, due to a cell character limit in Excel, any additional characters will be truncated. The MER file option does not have this limitation. A warning will appear if you create an Excel file where one or more notes fields have 256 or more characters.

MergeInsertPlaceholdersOnce you've exported your data, use Word to set up a mail merge document and insert the field placeholders as shown on the right. This is where your data will be inserted when you run the mail merge. You can also insert default placeholders such as date, time, etc.

MergePreviewThe finished output can be previewed in Word as shown.

We have 51 incident records for our pupil, each incident will be printed on a separate page or pages if there is lots of content in the notes field. This is one of the advantages of using Word to output conduct reports, it will automatically handle incidents of differing lengths without truncating or having printer issues which can sometimes be a problem in a web browser.
